2. What information we collect

For initial enquiries, we may collect your name, email address, telephone number, destination, preferred appointment details and the information you choose to put in your message.

If you become a client, we may need additional information relevant to the agreed service, such as travel history, employment or financial evidence, identification information and copies of supporting documents. We do not ask you to send sensitive identity or financial documents through the public website form or WhatsApp.

3. Why we use personal information and our lawful bases

• Responding to enquiries and taking steps before a contract: Article 6(1)(b), where processing is necessary to discuss or enter into a service contract.
• Providing contracted services: Article 6(1)(b).
• Accounting, tax, fraud prevention and legal compliance: Article 6(1)(c) where a legal obligation applies.
• Business administration, service quality and defending legal claims: Article 6(1)(f) legitimate interests, where those interests are not overridden by your rights.
• Optional marketing: consent where required. You can withdraw consent at any time.

If information revealing special-category data is genuinely required for a particular service, we will identify an additional Article 9 condition before using it.

4. Who we may share information with

Depending on the service, information may be shared with contracted technology providers, accountants, professional advisers, payment providers, document-transfer providers and, where you instruct us and it is necessary, relevant travel or visa-related service providers. We do not sell personal information.

5. WhatsApp, Meta and international transfers

If you choose to contact us through WhatsApp, Meta and its service providers process information under their own terms. Those providers may process data outside the UK. Where a provider transfers personal information internationally, its applicable transfer mechanism and safeguards apply. Because WhatsApp is not our secure document portal, do not use it to send passports, bank statements or similar sensitive documents.

6. Retention

• Unconverted enquiries: normally up to 12 months after the last meaningful contact.
• Client service files: normally up to 24 months after the service ends, unless a longer period is reasonably required for a dispute or legal obligation.
• Invoices, payment and accounting records: normally 6 years where required for accounting or tax purposes.
• Marketing preferences: until you opt out or the record is no longer needed.

We may retain a minimal record for longer where necessary to establish, exercise or defend legal claims.

7. Your rights
